Cancellation & Refund

At Dolores Travel, we understand that plans sometimes change unexpectedly, and you may need to alter or cancel your booking. To help you navigate this process, please review the following cancellation and refund policy carefully. It explains the procedures, deadlines, and any applicable fees.

Cancellation Requests

  • All cancellation requests must be submitted in writing, either by email or through our official communication channels.

  • Your cancellation will only be effective once we have received and acknowledged your written request.

  • To protect your interests, we recommend sending any notice of cancellation by recorded delivery or requesting written confirmation of receipt.

Cancellation Fees

Cancellation fees are calculated based on the notice period prior to your scheduled departure or service date. The closer your cancellation is to the departure date, the higher the fees may be.

Unless otherwise specified in your booking confirmation, the following standard cancellation charges apply:

  • 60 days or more before departure: Full refund of your deposit.

  • 46–59 days before departure: Deposit is non-refundable.

  • 31–45 days before departure: 35% of the total tour cost will be charged.

  • 15–30 days before departure: 50% of the total tour cost will be charged.

  • 7–14 days before departure: 80% of the total tour cost will be charged.

  • 6 days or fewer prior to arrival, or in case of no-show: 100% of the total tour cost will be charged.

Cancellation Process for Shore Excursions & Day Tours

  • Shore excursions and day tours (without flights) can be cancelled up to 48 hours before arrival without any extra charges (except for hot air balloon rides and airplane tickets).

  • If these tours are cancelled less than 48 hours before arrival100% of the total tour cost will apply as a “No Show.”

Please note:

  • Non-refundable services (such as special events, permits, flight tickets, and pre-paid tickets) may remain fully non-refundable in accordance with supplier terms.

  • Additional charges may also apply for cancellations of services provided by hotels, airlines, or other partners.

Refunds

  • If your booking is eligible for a refund, we will process it according to this policy and the original payment method.

  • Refund transactions may take time to complete and can be subject to bank processing times, currency conversion variations, or service fees.

  • No refunds will be issued for no-shows or any unused portions of services after your tour or activity has begun, unless explicitly stated otherwise in your booking terms.

Changes and Modifications

If you wish to change your reservation—such as adjusting travel dates, adding or removing services, or replacing participants—please contact us as early as possible.

  • All changes depend on availability and may incur administration fees or additional costs imposed by our suppliers.

  • Our standard administration fee for booking modifications is €30 / $35 / £25 per person per change.

  • We will inform you of any applicable fees before confirming any changes.

Force Majeure

In circumstances beyond our control—including but not limited to natural disasters, political unrest, strikes, epidemics, or official travel advisories—Dolores Travel reserves the right to modify, postpone, or cancel tours or services without prior notice.

If this occurs:

  • We will make every effort to offer alternative arrangements or reschedule your booking.

  • Our cancellation and refund terms may be adjusted accordingly.

  • We cannot accept liability for losses or expenses arising from such events.

Your Responsibilities

  • You must ensure that all travelers in your party hold valid passports, visas, and any required health documents.

  • If you have a pre-existing medical condition or disability that may require special assistance, you must notify us before booking.

  • Airlines may require medical clearance for pregnant travelers beyond 28 weeks of pregnancy. Typically, travel permission is refused after 32 weeks.

  • If your behavior is disruptive, dangerous, or negatively affects other guests or properties, we reserve the right to refuse service or cancel your booking without any refund.

Special Requests

While we will do our best to accommodate special requests (such as dietary needs, room preferences, or mobility assistance), we cannot guarantee that all requests will be met. Special requests do not form part of the contractual agreement unless specifically confirmed by us in writing.

Travel Insurance

Although insurance is not mandatory for day tours within Turkey, all our vehicles are insured, and we hold liability insurance for all package tour participants. However, the standards and limitations of insurance coverage differ from country to country, so we strongly recommend purchasing comprehensive travel insurance to protect against unexpected events, cancellations, medical emergencies, and other travel-related issues.
